Job Description

Mission

The PTP Team Manager is responsible for overseeing the entire invoice-to-pay process, ensuring efficient operations with a high level of internal control and compliance with company policies. This role includes managing the PTP team, optimizing processes, and achieving key performance metrics for the function.

Key Responsibilities:

Team Management:

  • Lead, mentor, and develop the PTP team to ensure high performance and engagement.
  • Manage workload distribution, set objectives, and monitor individual and team KPIs.
  • Conduct regular team meetings to align on priorities and address challenges.
  • Ensure succession plan / back-ups within the team.

PTP Process supervision:

  • Ensure efficient and accurate processing of purchase orders, invoices, payments, and related transactions.
  • Monitor and resolve escalated issues, including vendor disputes, payment delays, and compliance breaches.
  • Maintain robust controls to ensure compliance with internal policies and regulatory standards.

Process Improvement:

  • Identify and implement process improvements to enhance efficiency and reduce costs, in close collaboration with BPI team lead.
  • Work with cross-functional teams to optimize the E2E PTP process
  • Collaborates with technology to identify and plan template improvements in global architecture
  • Drive standardization, simplification, automation and digitalization initiatives within the PTP function.
  • Prepare and present regular reports on PTP metrics, including aging analysis, payment accuracy, and cost optimization.
  • Provide actionable insights to management to support strategic decision-making.

Compliance and Risk Management:

  • Ensure compliance to Group Policies, Internal Control and JSOX compliance, and other regulatory requirements.
  • Support internal and external audits related to the PTP process.
  • Mitigate risks by maintaining effective controls

Interactions:

Responsible to connect with Business, Procurement, IT and GPO Team.

Report to Head of FS Lisbon.

Qualifications:

  • Working experience (6+ years of PTP and team management experience)
  • Proficiency in financial systems and PTP tools (Microsoft Dynamics D365, SAP or similar ERP applications, Concur Travel Expenses and OCR tools funncionalities (eg: Readsoft,…))
  • Strong leadership and team management skills.
  • Strong interpersonal and communication skills.
  • Adaptability, we are looking for someone that can shift between local and global requirements.
  • Highly self-motivated – achiever of targets, both personally and through team
  • Excellent problem-solving and root cause identification skills
  • Good decision-making abilities
